- Welcome! When you arrive during auction preview or on auction day, you may go directly to the gallery to view the auction lots, or come to the front desk to obtain your bid card.
- You will be required to provide your valid driver's license upon registration. We will also ask for your phone number and if applicable, your email address (invoices and receipts can be sent as email attachments). This information is used for our contact purposes only. We do not share your personal information with anyone. Providing your email address does NOT add you to our email notification list.
- If you are tax exempt for resale, we are required to have a properly executed and signed Sales and Use Tax Certificate of Exemption form on file for you. Non-Virginia dealers are also required to show proof of the current registration or license number, so please bring a copy with you, or you may fax it (540.434.3399), or email a scanned copy. (See VA Sales Tax / Tax Exemptions).
- Your numbered bid card is valid for the current auction only. For multiple-day auctions, your bid number is valid for all sessions of the current auction.
- Staff members are on hand in the gallery to assist you with items on display in the showcases.
- On auction day, we sell in lot number order, as presented in the catalogue. Our auction catalogues are available on our website. You may print a copy free-of-charge to bring to the auction, or for a small fee (usually $5 to $7) we sell black & white printed copies, with thumbnail photos of all lots, at the front desk. If a special catalogue has been produced for the sale (e.g. May 22, 2010), only those catalogues will be available for purchase.
- At various times during the sale, the selling pace may range from 80 to 120 lots/hour. Our average rate of sale is 100 lots/hour.
- A Buyer's Premium will be added to each lot won.

- Sold items are contained in our holding area. Once you pay for your lots, we will give you two copies of your receipt. Present one copy to the holding area staff, and we will retrieve your items for you. We have some packing materials such as newspaper and boxes, which are available on a first come/first serve basis. You may also bring your own boxes, storage totes, bubble wrap, etc. Larger items such as furniture may be loaded into your vehicle from the loading dock at the east side of the building.
- Payment in full is due on the date of sale unless an authorized representative of Jeffrey S. Evans & Associates has pre-approved an alternate payment arrangement.
- Our auction gallery is a smoke-free environment that is equipped with security cameras. Free WiFi access is available during preview and auction days.
- Deli sandwiches, snacks and beverages are available for purchase on sale days. Proceeds go to Mt. Olive Presbyterian Church. Other restaurants nearby.

DEADLINE TO PLACE BIDS: Unless placed in person at our gallery, the deadline to place absentee bids is always two hours before the auction begins. Registered in-house bidders may place bids at the front desk at any point during the auction.
We do not accept absentee bids via email unless our Bid Form is properly completed and sent as an email attachment that can be printed legibly. If you have computer access, the preferred bidding method is online, using the Auction Flex platform.
This bidding option closes two hours before the auction begins.

Creating an Auction Flex account is easy!
CREATE AN ACCOUNT:
- Select a User Name and Password, then provide your name, address, phone number and email address. Remember your User Name and Password; this same login can be used for our future auctions.
- Click to check any or all of these options at the end of the form:
- Hide your user name from the public
- Receive emailed confirmation of each bid placed
- Receive emailed notices when you have been outbid (outbid notices are not sent after the auction begins)
- Click "Save Changes" and you're done! You must register for each auction in which you would like to bid (see below).
- We do not have access to your login info. If you have trouble with your login, email support@auctionflex.com or call (352) 414-1947 (FL) to speak with an Auction Flex support rep.
- Forgot Your Password?
- Go to Current Auctions and click the "Register" button for the specific auction. Check the box to agree to the auction terms (required), then click "Submit." You should receive confirmation of your successful registration via email.
- Once the catalogue is posted online, a button will be available to access the catalogue and view specific lot details and related images. See PLACING YOUR ABSENTEE BID ONLINE (below).
Registering through Auction Flex allows you to place online absentee bids only. For Live Internet bidding, separate registration is required through Live Auctioneers. Details
TO PLACE YOUR ABSENTEE BID ONLINE:
- Deadline to place online absentee bids is 2 hours prior to the start of the auction.
- Login to your Auction Flex account and click "Current Auctions" (under "BIDDER TOOLS" at the top left).
- Click the yellow "BID NOW" button to access page 1 of the catalogue (50 lots display per page). Browse the catalogue in lot number order or search by lot number or keyword. Note: Your keyword search will only be successful if we used the identical term, spelling and/or punctuation.
- Place your bid using the "Quick Bid" box (to the right of each lot). Enter your bid amount (must be equal to or greater than the asking price) and click "Bid." Click "Confirm Bid" to complete the process. OR...to view the full catalogue description for a lot before you bid, first select the lot.
- To select a lot, click the item description, lot image or the "Lot Detail" button). Enter your maximum dollar amount (above the "Place Bid" button). Click "Confirm Bid" to complete the process.
- Please verify that you are bidding on the correct lot. If you bid on the wrong lot and win, you are still liable for payment.
- Your bid cannot be accepted unless you are logged in to your account and you have agreed to the auction terms (required per auction).
- The last step is an option to "Confirm Bid" or "Cancel Bid." Your bid is not complete until you click "Confirm Bid."
By placing a bid, you are agreeing to abide by all terms and conditions of Jeffrey S. Evans & Associates and Auction Flex.

When we enter the bids for you, we refer to lot number only (we will not verify lot numbers with item descriptions). If we do notice a discrepancy with a lot number and item description, we will attempt to contact you to clarify. If it is not possible to confirm your intent, we will not execute your bid.

- REQUIRED FOR ALL FAXED AND MAILED BIDS: If not using our absentee bid form, your submitted bids must include the following statement: "I understand that my bid is a legally binding contract and I accept all terms and conditions of the auction." along with your signature and the date signed. Bids received without this signed and dated statement may not be accepted.
- FAX YOUR BIDS TO (540) 434-3399. Note: Don't wait for a beep before sending your fax (you won't hear a beep). Just press your SEND button after entering our fax number.
- It is recommended that you call or email us to confirm receipt of your bid(s).

- All information provided for faxed bids (other than fax number) also applies to mailed bids.
- Absentee bids are provided as a courtesy, at no additional charge to the buyer. We make every effort to accurately record and execute all submitted bids and although mistakes are uncommon, they can happen. We are not responsible for missed or inaccurately recorded bids.
- We will continue to bid on your behalf as long as there is at least one other competing bid. We will cease bidding for you when you win the item due to lack of other competing bids or the next bid increment exceeds your maximum bid.
- The Absentee Bid amount refers to the "hammer" price only. Please take the buyer's premium into consideration when determining your maximum bid amount.
- It is possible that a "live" bidder could win a lot for the same bid amount you placed prior to the start of the auction; it depends on the opening bid amount and where the bid increment falls during live bidding on the lot. Click here for sample bidding scenario.
- We will notify all successful absentee, telephone and Internet bidders within 2 business days of the end of the sale. Go to After the Auction for details.
- The first two business days following an auction are extremely busy while we process invoices for all successful Internet, Telephone and Absentee bidders (approximately 100-150 bidders per auction). Although we will not be available by telephone while invoicing is in progress, you are welcome to send an email and/or leave a voicemail message and we will return calls and emails at our earliest opportunity.
- The minimum opening bid for each phone bid lot is $250 for calls within the USA or $500 for international calls. Therefore, unless we have absentee bids that would cause a lot to open higher, the bidding will open at $250 to the phone bidder (if there are multiple phone bidders on the same lot, the first to register for that lot will open the bidding if necessary).
- Phone bidding is reserved for higher-end lots, usually those with a low estimate of at least $500. We ask that you reserve phone lines only for lots on which you are prepared to bid $500 or more. We gladly accept absentee bids on all lots, or you may prefer to bid live by computer during the auction.
- Phone bids must be arranged by 12:00 PM ET the day before the auction. We may reject phone bid requests that are made after the deadline has passed.
- Your phone bid is not arranged until you have received confirmation from us.

Telephone bidding is accepted at the bidder's risk. We are not responsible for any losses incurred as a result of phone bidding (e.g. missed call, missed bid, inaccurately estimated call time).
- We will call you to bid "live" during the sale. It is recommended that you provide at least one alternate phone number. You may also provide a "back up" bid amount (we will bid up to that amount for you if we cannot reach you by phone).
- DO NOT attempt to add lots to your phone bid during the auction. Organizing the phone bidding requires careful coordination of time and personnel. We often have to call another phone bidder immediately after assisting you with your lot(s).
- We sell in lot number order at an approximate rate of 100 lots per hour.
- We will provide you with an estimated call time. The selling pace can range from 80 to 110 lots per hour during the auction; however, the average selling pace is 100 lots per hour. Although we attempt to call several lots ahead, please be prepared to bid immediately if necessary.
- All bid amounts refer to hammer price only; a buyer's premium is added to the hammer price of each lot sold.
- We will invoice all successful bidders within 2 business days of the end of the sale to arrange for payment and pick up or shipping. Most invoices are sent via email on the Monday following the auction.
- The first two business days following an auction are extremely busy while we process invoices for all successful Internet, Telephone and Absentee bidders (approximately 150 bidders per auction). Although we will not be available by telephone while invoicing is in progress, you are welcome to send an email and/or leave a voicemail message and we will return calls and emails at our earliest opportunity.
- Payment is due within 5 business days of the date of your invoice. Initial invoices may not include shipping charges.

Our catalogues are also posted on the Live Auctioneers website approximately two weeks prior to the auction date. NOTE: Although we are on Eastern Time (ET), all Live Auctioneers auctions are displayed in Pacific Time (PT), which is three hours earlier.
A 20% buyer's premium will apply to any lots won by absentee bidding through Live Auctioneers. ***Online absentee bidding is available through our website with a 15% or 17% buyer's premium.

The deadline to submit online absentee bids (through our website or Live Auctioneers) is always two hours before the auction begins.
Live Auctioneers identifies bidders as either Floor/On-Site or Internet. An asterisk (*) after "Internet Bidder" denotes an absentee bid; the absence of an asterisk indicates a "Live" bid.
Note: Live Auctioneers does not know who has placed bids directly with our auction house; therefore, on the Live Auctioneers platform, an "On-Site" or "Floor" Bidder is simply any non-Live Auctioneers bidder (it could be someone who is physically present at the auction, or a "Live" telephone bidder, or an absentee bidder).

After the Auction-Payment, Shipping, etc.
As an active auction participant, you may be in direct competition with absentee bidders (those who placed bids prior to the start of the auction) and/or those who are bidding "live" in real time while the auction is in progress.
Absentee bidders include anyone who has submitted bids directly with our auction house either in person, by fax or mail, or through our website (powered by Auction Flex), and anyone who has placed absentee bids with us through Live Auctioneers.
The deadline to place absentee bids is always two hours before the auction begins (Exception: registered floor bidders may submit absentee bids at the front desk at any point during the auction).
NOTE: although you may be the high bidder when the absentee bidding closes, once the auction begins two hours later, your absentee bid may be in competition with bids from "Live" bidders.
"Live" bidders include active in-house participants or "floor bidders" who are physically present at our auction gallery AND anyone who is bidding remotely during the auction by telephone, or by computer (powered by Live Auctioneers).
Live Auctioneers defines an On-Site Bidder as someone who is "physically participating at the auction venue." However, since Live Auctioneers cannot know if our bidder is here in the gallery or bidding by telephone, or if the auctioneer is actually executing an absentee bid (one that was not placed through their system), "On-Site Bidder" technically refers to any non-Live Auctioneers bidder.
